Evidence you can put in front of your safeguarding lead

Our vetting, policies, insurance and data handling are documented and available for your due diligence, tender or contract monitoring process.

DBS checking process

  • Every worker holds an Enhanced DBS check appropriate to the setting, including children's barred list checks where required.
  • DBS certificates are seen in original or verified digital form and recorded on the worker's compliance file.
  • Workers are registered with the DBS Update Service where possible, and status is re-checked before placement.
  • Overseas police checks or certificates of good conduct are obtained where a worker has lived abroad.
  • Any disclosure is subject to documented risk assessment before a worker is offered to a service.

Safer Recruitment

  • Full employment history with written explanation of any gaps.
  • Minimum two references, including the most recent employer in a children's or health setting, verified directly.
  • Identity and right-to-work documentation checked in person or via approved digital verification.
  • Values-based interviewing with safeguarding scenario questions.
  • Qualification certificates and mandatory training evidence verified and expiry-tracked.

Named leads and escalation

A Designated Safeguarding Lead is accountable for safeguarding practice, with a named deputy and a documented escalation route for concerns raised in or out of hours.

Reporting and cooperation

Concerns are reported to the placing authority and relevant statutory bodies without delay, and we cooperate fully with local authority and provider investigations.

Training

All workers complete safeguarding training before placement, with refresher training tracked and recorded.

Whistleblowing

Workers are supported to raise concerns about practice in any setting, with a clear no-detriment commitment.

NMC verification

  • Every registered nurse is checked against the NMC register before their first placement.
  • Registration status, expiry and any conditions of practice are recorded.
  • Re-verification is carried out at defined intervals and before renewed bookings.

Data protection

  • Registered with the Information Commissioner's Office (ICO) — registration number [placeholder].
  • Worker and enquiry data is processed under UK GDPR on a lawful basis, with retention periods defined by policy.
  • Access to compliance files is restricted to authorised staff and documents are stored securely.
  • Data subject requests are handled within statutory timescales.
